Outreach

The Outreach Team is Nova Sorella's primary link to the community, volunteers, and local partners. This team builds trust and visibility, ensuring that our mission is understood and that we have the people power to execute it.

Lead

Core Identity: The Strategic Community Architect and Volunteer Manager.

Detailed Responsibilities:

  • Define Outreach Strategy & Goals: Deep Dive: You don't just execute events; you plan the why and how. You will identify key demographic groups, local organizations, and influential community members to connect with. Examples: Designing a three-month plan to increase volunteer sign-ups by 15%; choosing which specific local festivals or campus events Nova Sorella should attend; setting measurable KPIs for community engagement.
  • Coordinate Volunteer Recruitment: Deep Dive: You own the end-to-end process of bringing new volunteers on board. This includes creating recruitment materials, managing the application process, conducting interviews/orientations, and assigning volunteers to roles that match their skills.
  • Nurture Community Relationships: Deep Dive: You are the point person for all external partnerships with non-profits, local businesses, and community groups. You must foster ongoing, positive relationships, ensuring a mutual exchange of support.
  • Analyze Engagement Metrics: Deep Dive: You are responsible for collecting data (e.g., number of event attendees, new volunteer sign-ups, feedback surveys) and creating reports that evaluate the success of outreach efforts. This data drives all future strategy.

What Is Expected of You:

  • A "Big Picture" Mentality: You must connect the daily actions of the team to the long-term goals of Nova Sorella.
  • Strong Leadership & Delegation: You should empower the Outreach Member and volunteers while ensuring accountability.
  • Proactivity: We expect you to find new ways to connect and engage, not just repeat old patterns.

Member

Core Identity: The Dynamic Community Connector and Operations Support.

Detailed Responsibilities:

  • Execute Community Campaigns: Deep Dive: You make the strategy happen. If the Lead decides to run a neighborhood canvassing campaign, you are the one organizing the supplies, scheduling the team, and doing the physical outreach.
  • Manage Volunteer Communications: Deep Dive: You are the main point of contact for active volunteers. This involves sending weekly newsletters, scheduling volunteer shifts, managing group chat communications, and ensuring volunteers have everything they need to succeed.
  • Support Event Logistics: Deep Dive: Your role is to "get things done." At events, you handle setup/teardown, manage the registration table, and ensure a positive experience for all participants.
  • Represent Nova Sorella in Local Initiatives: Deep Dive: You will attend community meetings, neighborhood events, or campus fairs as a passionate and knowledgeable representative of Nova Sorella.

What Is Expected of You:

  • High Energy & Enthusiasm: You are often the first person the public meets; you must represent our mission with passion.
  • Organization & Detail-Oriented: Managing dozens of volunteer schedules requires extreme precision.
  • Adaptability: Events can be unpredictable; you must be a quick thinker who can solve problems on the fly.

Admin/Operations

The Admin/Operations Team is the engine of the organization. This team works behind the scenes to ensure the entire Nova Sorella structure runs smoothly, efficiently, and professionally.

Lead

Core Identity: The Organizational Strategist and Process Optimizer.

Detailed Responsibilities:

  • Oversee Administrative Workflows: Deep Dive: You manage the "systems" that allow everyone else to work. This includes reviewing and approving internal processes (like how teams request funding, how new members are onboarded, or how we manage digital assets).
  • Manage Operational Budgets: Deep Dive: Working with other team Leads, you will develop the overarching organizational budget. You monitor spending, approve expenses (within your limit), and provide financial reports to ensure the organization is fiscally healthy.
  • Enhance Organizational Efficiency: Deep Dive: You are always asking, "How can we do this better, faster, or cheaper?" This involves evaluating the technology the teams use (e.g., switching from Trello to Asana) or creating new SOPs (Standard Operating Procedures) to streamline repetitive tasks.
  • Direct Office Resource Planning: Deep Dive: You manage all physical and digital infrastructure. This means overseeing software subscriptions, organizing shared drives, managing any physical office space (if applicable), and planning future technology needs.

What Is Expected of You:

  • Strong Analytical Skills: You must understand complex systems and the impact of internal changes.
  • Financial Literacy: Comfort with budgeting, forecasting, and expense tracking is crucial.
  • Decision-Making: Other leads will rely on you to make decisions on workflows and technology.

Member

Core Identity: The Precision Coordinator and Organizational Backbone.

Detailed Responsibilities:

  • Assist with Day-to-Day Scheduling: Deep Dive: You manage the calendar for the organization, coordinating complex meetings involving internal leads and external partners. This includes booking rooms (physical or virtual) and sending precise meeting confirmations.
  • Maintain Databases and Records: Deep Dive: You are the guardian of the organization's data. This includes keeping volunteer contact lists, partner directories, donor records, and meeting minutes up-to-date and highly organized.
  • Support Logistics for Team Functions: Deep Dive: When our team meets for retreats, training sessions, or internal celebrations, you handle the food, the location, and all necessary supplies.
  • Handle General Inquiries and Documentation: Deep Dive: You manage the main "info@" inbox and phone line, filtering inquiries and directing them to the correct person. You also file and categorize essential documents (contracts, grant agreements, reports).

What Is Expected of You:

  • Meticulous Attention to Detail: A wrong email address or missed deadline can cause major disruptions. We rely on your precision.
  • Time Management: You will be juggling requests from multiple team leads simultaneously.
  • Professionalism & Discretion: You will have access to sensitive data (budgets, donor lists) and must handle it with confidentiality.

Media/Marketing

The Media/Marketing Team is the storytelling arm of Nova Sorella. This team crafts our narrative, builds our visual identity, and ensures our voice is heard across all channels, growing our digital community.

Lead

Core Identity: The Narrative Strategist and Brand Custodian.

Detailed Responsibilities:

  • Shape the Brand Narrative: Deep Dive: You are the chief storyteller. You must define Nova Sorella's core messaging, "voice," and visual style. You will create the brand guide (logo use, color palette, tone of voice) that everyone else follows.
  • Lead Content Creation for All Channels: Deep Dive: You own the content calendar. You review and approve the content and strategy for social media, email newsletters, and the website, ensuring a consistent and powerful message.
  • Develop Marketing Campaigns: Deep Dive: You design targeted campaigns to achieve specific organizational goals (e.g., creating a "Giving Tuesday" campaign to drive donations or a volunteer recruitment campaign to support a major event).
  • Track Digital Engagement and Performance: Deep Dive: You analyze the performance of every digital effort. You interpret data from Google Analytics and social media insights to understand which campaigns worked, which didn't, and how we must adjust our strategy.

What Is Expected of You:

  • Strategic & Creative Thinking: You must be able to translate our mission into powerful visual and written content.
  • Design & Editing Competence: High comfort level with tools like Canva, Adobe Creative Suite, and content management systems (like WordPress/Squarespace) is required for final review.
  • Data-Driven Leadership: We expect you to make decisions based on what the metrics tell you, not just intuition.

Member

Core Identity: The Creative Content Creator and Community Manager.

Detailed Responsibilities:

  • Create Social Media Posts and Visuals: Deep Dive: You are the primary content creator. You produce visually compelling graphics, short videos (Reels/TikToks), and high-quality photographs that fit our brand aesthetic and follow the Lead's content plan.
  • Draft Articles and Copy: Deep Dive: You write the content: blog posts, weekly emails, volunteer spotlight articles, and captions for social media. Your writing must be engaging, authentic, and perfectly aligned with the Nova Sorella voice.
  • Help Manage Online Presence: Deep Dive: You handle the practical side of posting content across Instagram, LinkedIn, and our website. You optimize posts for SEO (Search Engine Optimization) and ensure all information is up-to-date.
  • Engage with Digital Audiences: Deep Dive: You are our "digital friendly face." You actively respond to comments, direct messages, and questions, fostering a community on social media and identifying potential new volunteers or partners.

What Is Expected of You:

  • Advanced Creativity & Visual Skills: Mastery of graphic design tools (like Canva or Photoshop) and photography/videography is essential.
  • Compelling Writing: You must be a skilled and versatile copywriter.
  • Consistency: Our digital brand relies on a regular posting rhythm; you must be disciplined and organized.

  • Lead Grant Writing Efforts: Deep Dive: While your team member will help, you take full responsibility for writing major, high-value grant proposals. You are responsible for the key narratives, budget justifications, and ensuring we meet the funder's exact requirements.
  • Build Strategic Corporate Partnerships: Deep Dive: You represent Nova Sorella in high-level meetings with corporate Social Responsibility (CSR) departments. You design unique partnership packages that align our mission with their corporate values (e.g., employee volunteer days or sponsored programs).
  • Manage Donor Relations: Deep Dive: You nurture our relationships with critical donors. This involves personal outreach (calls, emails), creating impact reports that show how their money was used, and managing donor stewardship events.

What Is Expected of You:

  • Masterful Writing & Communication: Grant proposals and donor comms must be compelling, precise, and highly professional.
  • Confidence & Sales Skills: You will often be "making the ask" for funding, which requires confidence and a strategic approach.
  • Persistence: Securing major funds takes time; you must be resilient and relentless.

Member

Detailed Responsibilities:

  • Research Grant Opportunities: Deep Dive: You are the team's scout. You manage our grant database, actively looking for corporate, private, and government grants that align with our specific programs and mission.

  • Support Fundraising Initiatives and Reporting: Deep Dive: You help execute major fundraising events and play a crucial role in creating the impact reports that the Lead will present to donors. You gather the data and stories that prove our success.

What Is Expected of You:

  • Exceptional Organizational Skills: Juggling multiple grant applications, each with different guidelines and deadlines, demands extreme organization.
  • Resourcefulness: We expect you to find hidden opportunities that others miss.
  • Commitment to the Cause: To find the right grants and partners, you must deeply understand our mission and programs.
